Do you have a liquor license & liability insurance?
Yes, we are a fully business licensed and insured liquor catering service. This information can be provided to clients upon request. Insurance - $2M in General Liability & Liquor Liability Insurance. Our insurance includes coverage for your venue plus unlimited additional insureds so no need to purchase that yourself. We do not have or need a liquor license as we do not sell alcohol.

Are your bartenders trained and certified?
Yes, all of our bartenders complete an extensive training process which includes a mandated TIPs certification. Certificate available on request.

How many bar tenders do I need for 100 guests?
A common recommendation is to have one bartender for every 60 guests, so you should plan on having two bartenders for 100 guests and so on. However, the number of bartenders you need depends on a number of factors, including:

Drink consumption: If your guests are heavy drinkers, you'll need more bartenders to make enough drinks.

Event length: Longer events require more bartenders because guests will drink more.

Type of bar service: A full bar service requires more bartenders than a beer and wine only bar.

Adding a barback to help with restocking and other tasks

Creating a drink menu in advance so bartenders can make drinks more quickly

Setting up a drink station so guests can help themselves to drinks

What is the difference between an Open Bar vs a Package Bar like Grayced Moments?
A Consumption Bar is when you are charged a price per drink consumed at your event. Each drink has a price and you pay for what you and your guests actually drink. Averages run about $30-40/pp. A Package Bar is when you are charged a per person price or a fixed fee no matter how much or how little that person drinks. A Package Bar can control your costs move effectively and reduce overruns on your budget. You purchase the alcohol for the package of your choice in advance and we will work with you to pick up beverages in advance and take care of setup and serving your guests. We do not have liquor license so we cannot purchase alcohol AND serve it.

How early do you arrive to set-up?
We arrive a minimum of one hour before bar or event opening time. We will discuss the venue and the options chosen for your event and determine if more setup and take down time is required.

What do the bartenders wear to my event?
Depending on the formality of the event, our bartenders are usually dressed in a black shirt and pants with black shoes and wear bar tending aprons that are also black. If you want a more fun attire for our bartenders, we have several options available. For example, if you are having a tailgating event for a particular sport, we may be able to align our attire to a more fun sports minded dress code.

What about gratuity?
Gratuity is not included in our pricing but can be handled however you see fit. We'll discuss when we meet if you want to have gratuity included in the pricing, set out tip jars for your guests or for outstanding service included at the end with final payment.

How many servings do I get when I consider my bar needs?
A 16-gallon keg (1/2 barrel) is equivalent to 7 cases of beer or 124 pints.
An 8-gallon (1/4 barrel) keg and a Slim 8-gallon (1/4 barrel) keg are both equivalent to 3 1/2 cases of beer or approximately 62 pints.
A 5-gallon (1/6 barrel) keg is equivalent to 2 1/2 cases of beer or roughly 40 pints.
A case of beer if you don't use a keg is 24 cans or bottles.
Wine: One case is usually 12 bottles. A 750 ml bottle of wine contains about 5 glasses.
Champagne or Sparkling Wine: A 750 ml bottle will fill 6 flutes.
Liquor: A 750 ml bottle will make 16 mixed drinks.
Mixers: We recommend at least 1 liter of soda, tonic, or juice for every 3 guests.

I want Signature cocktails. How many should I provide?
Grayced Moments recommends offering two to three craft cocktails. Offering too many can make it overly complicated for guests to order, which can slow down the bar service. If you do offer five for example, you'll want to include a popular classic like an Old Fashioned, as well as a mocktail, to make deciding from the menu easier. And you can consider making some signature cocktails in batch to make service faster.

What areas do you travel to?
We service the 5 county twin cities metro area in Minnesota, with a travel fee being applied to areas outside of these counties within Minnesota.

Who returns the kegs at the end of the event?
We can work with your vendor to return the kegs and any unused liquor (if they accept unopened/unused alcohol/drinks) or you can return depending on the vendor requirements.

What if I want a special Signature cocktail or beverage for my event?
We are open to any and all requests to make this a one-of-a-kind event. Batch cocktails are a great option, and Grayced Moments will provide unique ideas that fit your event theme. We will work with you to provide great options and is included in some of our packages.

Is there a size minimum or maximum you offer bartending services for?
We serve small and large size events that can range from 20 and up. The number of required bartenders is dependent on the number of guests attending your event. This is all part of the planning process we do with you in advance to help guide the amount of beverages required for each event.
Is outside alcohol permitted?
No, we do not allow any consumption of outside alcohol once our bartenders are on the premise. If guests are found with any outside alcohol, they will be asked to discard it due so as to limit liability issues.
